*CBME program – in order for a ‘CBME program’ to exist in MedSIS the EPAs must be finalized and approved by the Royal College, the EPA file sent and the file imported into MedSIS. Details of the process are below.
Process of the importing the EPA file from the Royal College into MedSIS:
- MedSIS team receives excel extract from the RCPSC after it has been approved, translated into French and changed from pdf to excel format. The file is the forwarded to Knowledge4You to import into MedSIS. If changes have been made by the RCPSC to the file format (for example, some files have additional columns of information etc.), then modifications may be need to be made to the import process.
- Once the file is imported, the MedSIS team creates the minimum requirements listed in the assessment plan. This process (steps 1 and 2) will take approximately 4 weeks.
- The MedSIS team will then be in touch to arrange a meeting with the program to demonstrate the CBME module and to discuss any requirements that need clarification or where there are constraints in teh system for a particular requirement to be tracked.
- The MedSIS team implements the requirements as they were discussed / agreed on at the program meeting.
Creating a curriculum map in MedSIS: a curriculum map is important to the Learner so that s/he is able to see the EPAs that are associated with the particular training experience. The PA will go into their Rotation Schedule look up table and from there, will be able to select the training experience that they want to map an EPA to. They will then be able to click an ‘Add’ button and select one or more EPAs to map to the rotation. When a Learner is on a particular training experience and they wish to get an observation on an EPA, MedSIS will be able to pull up the EPAs that have been mapped to that training experience for the stage that the Learner is in. Those are the EPAs that will show up at the top of the list.
The PA will only see their own mappings for a given training experience, even though other programs may be mapping EPAs to the same rotation. To see a visual of the screens in MedSIS click here.
CBME Learner dashboard: will track completion of the EPAs as outlined in the Royal College assessment plan (RC forms 1, 2, 3, and 4). The dashboard will help learners and programs to be able to visually see what EPAs have met the Royal College requirements and what remains outstanding. The Competence committee will review and approve. There will be a tab “Other Assessments” where you will be able to see other assessments that are currently available in MedSIS e.g., ITARs, procedure log, WBAs etc.
Mobile functionality
The CBD programs will be able to trigger / complete their EPA assessments through their mobile phone. There are 2 options to complete:
Option 1: Learner triggers form and completes as much of the form as required. Device is passed to assessor to complete remainder of the form and submit. Assessor will receive an email with a link directly to the form. No login required. Assessor will click submit for final submission.
Option 2: Learner triggers form. Assessor will receive an immediate link directly to the form. No login required. Assessor will complete the form and submit.
Faculty will also be able to trigger a form.
The mobile app will be available to use for all assessment forms in MedSIS, including ITARs, work based assessments, etc.
MedSIS CBME Town Halls were held on January 16 and 23, 2019 to provide stakeholders with an update on the project.
First steps for the program: training and documentation will be ready for CBD programs February 2019.

Reporting
The reporting feature always comes last, once everything else is built. There will be reports available in CBME MedSIS. Details to be provided at a later date.
